An AI phone answering service picks up your calls with a voice agent that answers questions, books appointments and takes messages, while a human answering service uses outsourced receptionists who follow your script. With Praxen, the AI option costs £950 to set up and £249 a month (£665 and £174 with the launch offer) plus call minutes at provider cost, typically 6–15p a minute, all excluding VAT, and it is ready in about two weeks.
Two ways to answer the calls you miss
A human answering service is a team of receptionists who often cover several businesses at once. They answer in your company’s name, follow a script you agree, take messages and, with some services, book into your diary. Charges come as a monthly plan, a fee per call or per minute, or a mix of these.
An AI phone answering service does the same first job with a voice agent. It understands what the caller says, replies from information you have approved, books directly into your calendar and sends a summary after each call. It can take several calls at the same moment, at any hour. Recordings and transcripts sit in accounts in your name, and we sign a data processing agreement before any calls reach the agent.
What each does well
Neither option suits every call. The table sets them side by side on the points that matter to callers and to your team.
| Area | Human answering service | AI phone answering |
|---|---|---|
| Unusual or emotional calls | Strong: a person can listen, calm the caller and use judgement | Weaker: these calls go to a person |
| Busy periods | Calls may queue when many clients’ lines ring at once | Several calls answered at the same time |
| Evenings and weekends | Depends on the plan; full cover may cost more | The same service at every hour |
| Bookings | Possible when the service has access to your diary | Written straight into your calendar or booking system |
| Record of each call | A written message | Recording, transcript, summary and a CRM entry |
| Knowledge of your business | The script and notes you provide | The information you approve, which you can change the same day |
| Callers who want a person | Always a person | A person on request, by transfer or call-back |
Where a person still makes the difference
- Callers in distress. Someone upset, frightened or vulnerable needs a human who can respond to the situation in front of them.
- Complaints. A person can apologise, judge how serious the problem is and decide who should call back.
- Messy calls. Several people talking, a very poor line or a caller who keeps changing the subject usually goes better with a person.
- A personal service as the product. Some businesses promise clients a person on every call, and that promise is worth keeping.
Monthly cost side by side
Human answering services set their prices in different ways, and rates depend on the provider, the hours covered and how much each call involves. The human figure in the table is an illustration only. For a real comparison, ask two or three services to quote for your own volume.
The AI option has fixed parts: setup once, a monthly fee, and minutes billed by the telephony and AI providers to accounts in your name. In an illustrative month of 300 calls at three minutes each, 900 minutes at 6–15p adds £54–£135. With the launch offer that puts the AI option at roughly £228–£309 a month after the one-off setup. Every figure here excludes VAT.
When a mix works best
The two options work well together. The split usually follows the call types: routine calls to the agent, judgement calls to people.
- AI out of hours, people in the day. Your own staff or a human service take office-hours calls, and the voice agent covers evenings, weekends and bank holidays.
- AI first, people for exceptions. The agent answers every call and books the routine ones. Complaints, distressed callers and anything unusual transfer to a person or to a human service.
- AI for overflow. When your team does not pick up within a set number of rings, the agent answers, so a busy hour stops costing you calls.
- People for key clients. Calls from numbers you list ring through to a person, and everyone else reaches the agent.
How to compare them on your own calls
- Export a month of calls. Your phone system or provider shows the time, length and outcome of each one, including missed calls.
- Sort them by reason: bookings, price questions, status checks, new enquiries, complaints and the rest.
- Mark the calls that need judgement. These stay with people, whichever option you choose.
- Price both on the same volume. Ask human services to quote for your calls and hours, and use the setup, monthly fee and per-minute range above for the AI option.
- Trial the AI on part of the line. Forward evenings and overflow calls to it for a month and keep your current arrangement for the rest.
- Compare the results: missed calls, bookings made, messages that needed a second call and any complaints about how calls were handled.
