AI for sales teams: replies, CRM and follow-ups

How sales teams use AI to answer new leads, keep HubSpot, Pipedrive or Salesforce up to date and send follow-ups on time, while people run the deals.

Short answer

AI for sales teams handles the admin around each deal: first replies to new leads, call notes logged in the CRM and follow-up drafts, while salespeople keep the conversations, prices and negotiations. A pilot on one of these workflows takes 2–4 weeks and costs £2,900 (£2,030 with the launch offer). Prices exclude VAT.

Where a salesperson’s week goes

In most sales teams a large part of the week goes on work around the sale. People type up call notes, move deals between stages, write the same first reply to new enquiries and try to remember who to chase. Leads that arrive in the evening wait until the next morning. Notes that never reach the CRM leave the pipeline report out of date, so forecasts rest on guesswork.

Most of this work follows rules you can write down. That makes it a good fit for AI, as long as the selling itself stays with people.

Lead replies within minutes

A new lead can arrive through a web form, an email, a WhatsApp message or a missed call. The AI reads each one and replies within minutes, at any hour, using only answers you have approved.

  • It answers what it can from your product information, delivery areas and standard terms.
  • It asks your qualifying questions, such as budget, timing, order size or location, one or two at a time.
  • It offers a booking link to the right salesperson’s calendar, chosen by region, product or deal size.
  • It creates the contact and the deal in your CRM with the source, the answers and the full conversation.
  • It passes the lead to a person straight away when it matches your rules for a priority deal, or when the lead asks for someone.

CRM updates in HubSpot, Pipedrive or Salesforce

After a call or a meeting, the recording or the rep’s rough notes become a short summary, the agreed next step and a list of proposed field changes: deal stage, value, expected close date and the people involved. The salesperson sees the changes next to the current record and approves or corrects them in one step. Emails are matched to the right contact and deal, so the history sits in one place.

HubSpot, Pipedrive and Salesforce each have AI features of their own, and what you get depends on your plan. They work best on information that is already in the CRM. The usual gap is getting it there: calls, WhatsApp messages and emails that never reach the record, and rules specific to your business, such as which leads go to which salesperson. We start from what your plan already includes and build only what is missing, through the CRM’s own API.

Before launch we test the field mapping on a sample of your past deals, so the AI fills the fields your team relies on and leaves the rest alone.

Who does what

A simple split of the work between AI and your salespeople. Use it as a starting point for your own rules, and move a task to the right-hand column whenever your team wants to keep it.

TaskWhat AI doesWhat the salesperson does
First reply to a new leadReplies from approved answers, asks qualifying questions and offers a booking linkTakes the first call and decides whether the lead is a fit
Call and meeting notesWrites the summary and proposes CRM updatesApproves or corrects the update
Follow-upsDrafts the next message when a deal goes quietEdits and sends it, or approves a template for routine cases
QuotesDrafts from your price list and templatesChecks the quote, sets any discount within policy and sends it
Pipeline tidy-upLists deals with no next step or a close date in the pastUpdates, moves or closes them

Follow-ups that go out on time

Follow-ups slip when the pipeline is busy, and a quiet deal is easy to forget. The AI watches each open deal and prepares the next message at the point you choose.

  • You set the triggers, such as no reply five working days after a quote, a missed meeting or a trial that ends next week.
  • Each draft uses the deal’s history, so it refers to what was discussed and the next step agreed.
  • Routine messages, such as a reminder with a booking link, can go out automatically once you approve the template.
  • Anything that mentions price, terms, delivery dates or a discount goes to the salesperson to send.
  • The sequence stops when the lead replies, books a call or asks not to be contacted, and the CRM records the reason.

Rules that keep people in charge of the deal

The AI never offers a discount, a special price or a delivery date outside the rules you set. If a lead asks for one, the conversation goes to a salesperson with a summary of the request. A person approves every quote before it is sent. Negotiation, pricing decisions and anything contractual stay with your team.

Data stays in your own accounts and CRM. We connect through enterprise APIs, which do not use your data to train models, and we sign a data processing agreement before launch. Every message and every CRM change is logged, so you can see what the AI did and who approved it.

What it costs, with an illustrative example

A pilot on one workflow, such as lead replies or CRM updates after calls, is £2,900 (£2,030 with the launch offer) and takes 2–4 weeks. Several workflows connected across your CRM, inbox and calendars start at £6,500 (£4,550). Ongoing care is £350 a month (£245). The AI providers bill usage to your own accounts at cost. Prices exclude VAT.

The figures in this example are illustrative. Say a team of four salespeople each spends 40 minutes a day on notes and CRM updates. That is about 13 hours a week. At an hourly cost of £30, it comes to roughly £400 a week, or £1,700 a month. If the AI takes over most of that work, a pilot at £2,030 covers its cost within a few months.
